 ✨ How to Organise a Master Workshop
​It might sound like a big job — but with a bit of planning and support, anyone can do it!
Once you’ve found an amazing artist and sorted your funding (or how to cover costs), you’re well on your way. Here’s a simple step-by-step guide to help you run a successful workshop.

📝 Planning the Workshop
1. Chat with the Artist
Get a quote from the artist that includes:
  • Their fee
  • Any travel or accommodation costs
  • How many participants they prefer
  • Possible dates
  • Their cancellation policy
2. Decide How You’ll Cover Costs
You have two main options:
  • Charge participants (more info below)
  • Apply for funding (like a grant)
3. If Charging Participants:
  • Use a platform like Eventbrite to collect payments
  • Set a price that covers all your costs, including the chance of last-minute cancellations
  • Work out your minimum number of participants — and be prepared to postpone if you don’t meet it
Example: You need $1000 to run the workshop (artist fee is $500 + other costs). If tickets are $100, you need at least 5 participants to break even.
💡 Any profit can be kept in a Maker’s Space “silo” to support future events or workshops!
4. If Applying for Funding:
  • Research local or arts-based grants
  • Submit your application (ask for help if needed!)
  • If successful, you may be able to offer your workshop at a free or discounted rate!

📣 Promoting the Workshop
1. Create your promo materials
Use Canva to design a flyer or social media post with all the key details.

2. Share your workshop
  • Post on your socials and tag @ColacMakersSpace
  • Email content to [email protected] to include in our newsletter or website
  • Tell your friends — word of mouth is still the best promo tool!

📆 In the Lead-Up
1. Confirm Registrations
Make sure enough participants are signed up and paid. If not — cancel early and notify everyone.
2. Reconfirm with the Artist
Check if they need anything special for the space setup.
3. Send a Reminder
Give participants a friendly heads-up a few days before.
4. Check Amenities
Make sure the space has tea, coffee, milk, toilet paper — all the little things that make a big difference.

🎨 On the Day
  • Arrive early to set up the space
  • Welcome the artist and participants
  • Keep an eye on things and be available to help
  • Collect feedback from the group and the artist
  • Tidy the space at the end (lights off, tea area clean, etc.)

📨 After the Workshop
  • Make sure the artist’s invoice has been sent to the Treasurer for payment
  • Send the artist a thank-you email
  • Post a few photos on social media and tag the artist + Maker’s Space if posting from your own account
